ISG company has been operating in the Ukrainian market since 2001.
It specializes in customs clearance of import goods and transportation of various goods from Europe to Ukraine.
The company provides services both in complex and separately.
The strength of the company is a thorough knowledge of international standards, customs and tax legislation of Ukraine. This guarantees the customer a quick result.
The company aims to solve all non-standard situations and has a knowledge base sufficient to prevent the occurrence of such.
At the same time, the customer’s involvement in the process is minimal, the company assumes responsibility for resolving all issues.
Service is provided according to the 24/7 standard.
High standards in the company are difficult to achieve without automation.
Therefore, in June 2018, the company began a project to automate its activities.
TQM systems became the contractor.
Previously, the company had considered ready-made solutions of Ukrainian suppliers, and had not found a system suitable for its business.
It was decided to develop a CRM for itself according to the model of its functioning business processes.
This decision was based on the fact that the considered ready-made systems have a rigid architecture, they are difficult to adapt and time-consuming to customize.
In the main, the systems offer their own rules for working and regulating business processes; this does not allow creating a lightweight tool that is not loaded with foreign algorithms.
In a customized system, all processes are automated as it suits the customer.
It depends on the scope of functions that a customer requires.
For example, fully recreating the 1C:Enterprise functionality from scratch will cost much more than buying a serial license.
Usually it is not necessary to recreate everything; half of the functions are not needed and never will be needed.
Therefore, the cost of customized development is equal to the purchase cost of an already finished one. At the same time, a customer gets a completely user-friendly interface configured for business processes and requirements without a thousand unnecessary system capabilities loading the system.
The decision on customized development was also influenced by the need to allow third-party users, customers, access to the system to track personal orders.
The fact is that ready-made serial systems entail the availability of a separate paid license for each simultaneously working user. With an extensive customer base, this may result in a round sum. An individual license development of such licensing is not anticipated and the number of users is regulated only by server capacity.
Initially, the company did not use automation systems and kept records and reports semi-manually using Excel tables. For a new system, it's operability reserve is calculated with regard to the following company information:
The system does not entail functions of a classic warehouse, where a detailed accounting of goods by zones, sections, shelves, and cells is maintained, and does not calculate transport routes automatically.
In addition to the developed system, it is planned to integrate with the financial block on the basis of 1С:Accounting and the warehouse logistics system. Data exchange is thought to be two-way.
Usually, the interaction takes place as follows:
In the case of ISG, the customer’s representative independently collects requirements for all processes of the company, and sends them to TQM systems for development.
The customer preferred this type of interaction.
The interaction procedure is organized differently, according to a block or part of the functionality:
As the next task is completed, it is sent to the customer for verification. The customer estimates how convenient it is, if there is everything to do the work, and what may be excessive.
According to the results of this check, the customer sends a list of comments, and that what he wants to change additionally. After approval, the new requirements are sent to work.
The customer also wanted to see this kind of a testing process.
The company gave a number of specific requirements for usability. In the first place, it should be convenient, and the work with forms should take minimal time.
For this purpose, for example, all forms are designed so that all of their fields are located on one screen, and minimum scrolling is required.
The system is easy to use, because the form of usability is reconciled with the user. Button positions and fields are adjusted according to the customer's request, unlike in finished systems.
AutoFill is the main demand that the customer makes to the system.
There are many fields in the forms, and they should be filled automatically, values are selected by ties according to entered parameters.
And practically there is a series of sequential automatic transformations prescribed for every action in the system.
Related data in various forms and documents also change accordingly.
Therefore, there are a lot of connections between the data.
A system of directories filled with all the necessary data was organized in the application. Their structure and contents can be expanded.
So far, 70% of the requirements have been implemented in the system
Directory block contains all the information necessary for the formation of a document, application or delivery. These are data on vehicles, drivers, brands, places, employees...
Operations block, which shows, from top to bottom, the process starting with a request creation to its reception by the customer:
Supply form
A convenient filtering and search through nearly all significant fields is organized in the list of records.
Export customs clearance form
A separate block сontains goods description, which indicates how much cargoes are there in a supply and gives their description.
Route planning: a logistician selects and assigns how the cargo will move. There are points of destination: factories, warehouses, there are many interrelations, according to which a certain choice is offered. But the final decision is taken by the logistician.
Route form
At the final stage, the supply gets into the Warehouses section. A color markers system was developed in forms for better visual perception.
Warehouse form
Administration block defines user rights and roles. The administrative panel entails 4 levels of access to information: admin, manager, customer, API. The Customer role is separated out; it is intended for visiting personal accounts and tracking order information. Deeper rights differentiation will be carried out at the stage of implementation into use; all mechanisms for this have been prepared.
It is possible to deploy the system anywhere, on a local server or in a cloud.
The forms were not purposefully adapted to mobile devices, but they look quite good on a tablet screen starting at 8". The work with the forms is done via browser.
At customer’s request, it’s possible to quickly develop a mobile application, the program components are ready for this.
